Every expense and bill can keep up to 10 receipt files: photos, scans or PDFs. PaySuiteTT reads each receipt and fills in what it can, so you mostly check and save.
Add a receipt to a new expense
- Open Purchases › Expenses. The New expense form is at the top of the page.
- Under Receipts, press Take photo to photograph the receipt with your phone, or Choose files for a scan or PDF.
- PaySuiteTT reads the first receipt and fills in the Merchant, Date, Amount, Invoice number, VAT and Category where it can. Each one it filled is marked From receipt.
- Check them, choose the Payment account, and press Create.
A receipt that's printed clearly is read in a few seconds. Anything it couldn't read is left for you to type.
To add a receipt to an expense you've already entered, press the camera button beside Missing in the expenses list, or open the expense and use Receipts.
Collect receipts in the inbox
When you have receipts before their expenses are entered, keep them in the inbox. Open Purchases › Receipts, then press Take photo, or Choose files for up to 50 at once.
Each receipt is read, and shows what was read: the merchant, date and total. When an expense has the same amount and a close date, it's shown as Suggested.
- Press Attach to suggested to put the receipt on that expense.
- Pick another under Choose expense or bill and press Attach.
- Press Create expense from this to enter a new expense, filled in from the receipt and with the receipt already on it.
- Discard moves a receipt to Discarded, where it's kept for 30 days.
Email receipts in
Your business has its own receipts address, shown under Email receipts in on the Receipts page. Press Copy and forward receipts to it, from the email you sign in with. Each PDF or photo attached to the email lands in the inbox and is read.
To forward from another address, such as a personal Gmail, type it under Add an address and press Add. Mail from anyone else is turned away. Recent emails shows what happened to each one.
Forward from Gmail automatically
To send every receipt on its own, open Forward automatically from Gmail on the Receipts page and follow the steps. Gmail sends a confirmation code to your receipts address first; it appears on the Receipts page, ready to type into Gmail.
Find expenses missing a receipt
Under Receipt rules on the Receipts page, choose when an expense needs a receipt: Always, Over an amount or Never, and the categories that never need one, such as bank charges. Press Save receipt rules.
Expenses that need a receipt and don't have one show Missing. On Expenses, choose Missing under Receipt and press Apply filters to list them. The Accounting Overview shows how many there are this month.
When there's genuinely no receipt, open the expense, press No receipt available, type why, and press Save reason.
Good to know
- Receipts can be JPG, PNG, HEIC, WEBP or PDF, up to 15 MB each.
- Removing or replacing a receipt keeps the old one in the expense's history, for your records.
- To stop reading receipts, untick Read receipts and supplier invoices under Receipt rules and press Save receipt rules.
