Pay more for holidays and days off worked

Set what a holiday pays, and pay one person or one shift differently. 2 minutes.

0:00 / 2:12

A pay rule is extra pay for hours worked at a time you pay differently, such as a public holiday. The rule sets the rate for the whole business, and you can pay one person or one shift another.

Set what a public holiday pays

Every business starts with one rule, Public holiday, at one and a half times the normal rate.

  1. Open Payroll › Pay runs, press More, then Pay rules.
  2. On the Public holiday card, type the Rate. Type 2 for double time, or 3 for triple time.
  3. Under Paid to, tick the kinds of staff the rule pays: Staff paid by the hour, Staff paid by the day, or Salaried staff. Salaried staff are paid the same whether or not they work the day, so most businesses leave them out.
  4. Press Save rule.

Draft pay runs use the new rate when they are next calculated. Press Compute on the run to pick it up. Pay runs you have already approved are left as they are.

The dates have to be confirmed

Which dates count as public holidays is a separate list, under Payroll › Pay runs › More › Public holidays.

A date nobody has confirmed pays the normal rate. Divali and Eid move each year, so they arrive there as suggestions from the holiday calendar with their date not yet announced. Until you press Confirm on one, the rule does not pay for it. If you set double time and a holiday still pays the normal rate, this is almost always why.

Pay extra for a day off that was worked

  1. On Pay rules, press Add a rule.
  2. Type the Name on the payslip, such as Worked on a day off.
  3. Under When it applies, choose Hours worked on a day they were off.
  4. Type the Rate and tick who it is Paid to, then press Add rule.

Change a rate from a date

Leave Starts from blank and a rule pays the same rate on every pay run.

Put a date in it and pay runs whose period ends before that date keep the old rate, so a rate can change without rewriting pay you have already worked out.

Pay one person a different rate

  1. Open Employees and choose the person.
  2. Go to Special pay. Each of the business's rules is listed, starting on the business's rate.
  3. Under Rate for this person, choose Pay a different rate and type the figure under Times their normal rate, or choose Do not pay this rule to leave them out of it.
  4. Press Save special pay, then Compute on the draft run so it takes effect.

Anyone on a rate of their own is marked Not the usual rate, and Pay rules lists who is paid differently, so you don't have to open every employee to find the exceptions.

Pay one shift at its own rate

For a one-off, such as somebody covering a shift at short notice, set the rate on the shift itself.

  1. Open Payroll › Pay runs and choose the run, then the person.
  2. Go to Pay a shift at a different rate. Every approved shift in the period is listed.
  3. On the shift, type the Rate and a Reason, such as Covered a shift at short notice. The reason is printed on their payslip.
  4. Press Save, then recalculate the run.

A rate on a shift beats the person's own rate, and theirs beats the business's rule. Press Clear to put a shift back to the normal rate.

Good to know

A shift that two rules both cover, such as overtime on a public holiday, is paid the higher of the two rates, not both multiplied together. Each payslip line says which rule paid it and at what rate, so a question about a figure can be answered without opening the shifts.

Extra pay counts for NIS, PAYE and Health Surcharge like the rest of their pay.

Overtime is set on each person, not here, because people can be on different overtime rates. It is on the employee's page under Overtime.
